Job Description

We require a Receptionist to join and support our fast-paced team in Hamilton.

This position reports to the Director and Manager.

Key responsibilities: • Provide administrative support to the Director and Manager and liaise with the Director, Manager and other company staff with regards to the operation of the business • Answer and screen phone calls, take messages or transfer calls and follow up on e-mail and other correspondence • Assist in maintaining the schedule and diary of the Director and Manager and deal with forwarded mail while liaising with internal and external stakeholders as required • Assist in organising and taking part in business meetings with suppliers, distributors and collectors, making minutes / notes and follow-up actions where appropriate • Assist in organising accommodation / travel /delivery arrangements as required • Assist in maintaining important and confidential files / records in an organised manner • Assist in drafting, preparing or reviewing documents / reports for the Director and Manager as required, including analysis of quality, quantity, cost, time available, labour requirements, local competitors, pricing and other statistical information to support the business • Liaise with the Company Accountant and assist the Manager with the financial matters of the business • Undertake printing, scanning and photocopying duties as required • Assist in undertaking administration and data entry duties • Any other duties as reasonably and lawfully required for the successful and smooth running of the business

You must be honest, reliable and be available for work any day, including weekends and / or any public holidays according to a flexible schedule to suit business requirements.

Our ideal candidate will have a relevant tertiary qualification and / or at least 1 year’s relevant experience in a Receptionist or PA role.

You must also have: • A clean Driver’s License • Excellent communication and interpersonal skills • Excellent organisational skills • Excellent computer skills • Be reliable, organised and efficient • Ability to maintain premises to a high standard

You must also be able to pass a drugs test if required.
